Challenge
Every new lead landing in HubSpot needed a human to notice it, place a call, work through a qualification script, and manually schedule a meeting with the right rep. That chain has a delay built into every link, and it doesn't scale without hiring more callers.
Approach
We connected HubSpot's lead events directly to a voice-calling pipeline: the moment a new contact hits the CRM, n8n triggers a VAPI-powered voice call using scenario-specific scripts (new leads, follow-ups, unqualified prospects). The assistant engages the prospect, qualifies them against the team's own criteria, and hands off to automated meeting scheduling based on the right rep's availability — all logged back into HubSpot for reporting.
Outcome
Lead outreach now starts the moment a contact is created, with zero manual dialing and a consistent script every time.
